How to Create, Edit, and Manage Listings

This guide walks you through everything you can do on the My Clubs page and inside the Add Club flow. Follow these steps to create new clubs, edit existing ones, and manage your clubs day to day.

The My Clubs Page

To get to your clubs, open the Dashboard and click Clubs in the sidebar menu (under the Business section). This opens the My Clubs page, where all of your clubs are listed.

What You See in the Table

All of your clubs are displayed in a table. Each row represents one club. The columns are:

Club Name — The name of your club, with an inline badge showing whether it's a Subscription, Release, or Membership-Only club
Fulfillment — How members receive their orders (pickup, shipping, or both)
Price — The club's price, or price range across its tiers
Tiers — The tiers the club offers
Visibility — Whether the club is currently visible and accepting signups
Members — The number of members across all tiers

Each row is clickable — click on any club to open its detail view where you can view and edit it. You can also drag rows by the handle on the left to reorder how clubs appear on your public profile.

Filtering and Searching

Above the table, search clubs by name, and filter by status using the multi-select dropdown: Drafts, Active, Pending, Rejected, and Delisted.

Actions on the My Clubs Page

Add Club — Click the Add Club button at the top of the page. This opens the Add Club modal, which walks you through creating a new club.
Refresh — Reloads the clubs table.
Click a row — Click on any club to open its detail view. From there you can edit fields, view member counts per tier, and see the public listing page URL.

Creating a New Club

Click the Add Club button at the top of the My Clubs page. This opens the Add Club modal — a multi-step flow that walks you through every setting for your new club.

At the top of the modal, a progress indicator shows which step you're on and how many steps remain. Use the Back and Next buttons at the bottom of each step to navigate between steps.

Step 1 — "What type of club are you creating?"

Choose the type of club you're creating. Three options are presented as selectable cards:

Subscription — Members are billed on a recurring schedule (you'll configure the frequency per tier later). Billing happens automatically.
Release — Members are only charged when you create a release. There's no fixed billing schedule.
Membership-Only — Members pay a recurring fee for rewards and benefits only. No wine fulfillment.

Select a type and click Next.

Step 2 — "Let's describe your club to members"

Fill in the foundational details for your listing:

Listing Name (required) — Enter the name of your wine club. This is the headline members see when browsing, so make it clear and appealing.
Description (required) — Write a description explaining what the club offers, what kinds of wines to expect, and why someone should join. Supports rich text formatting.
Tagline (required) — A short, catchy phrase that summarizes your club. This appears prominently on your public listing page.
Category — A display label for the kind of club (e.g., "Wine Club", "Beer Club"). Helps members understand what type of club this is at a glance.

Click Next to continue.

Step 3 — "How will members receive their fulfillment?"

Note: This step is hidden for Membership-Only clubs since they have no wine fulfillment.

Choose how members will receive their orders. Three options are presented:

Local Pickup — Members pick up their wine at your tasting room
Shipping — Wine is shipped to the member's address
Both — Members can choose between pickup and shipping when they sign up. They can switch their preference anytime from their member dashboard.

Click Next to continue.

Step 4 — "How often will you bill members?" / "When and how will you bill and fulfill?"

Note: This step only appears for Subscription and Membership-Only clubs. Release clubs skip this step because they have no fixed billing schedule.

The title and description change based on the club type:

For Membership-Only clubs: "How often will you bill members?" — "Choose how often members are charged for their membership"
For Subscription clubs: "When and how will you bill and fulfill?" — "Configure when members are billed and when they receive their orders"

Configure the following settings:

Billing Frequency — Select from: Monthly, Every Other Month, Quarterly, Semi-Annually, or Annually
Fulfillment Mode (Subscription only) — Choose between Cycle-Based (batch processing) or Individual
Anchor Date (Subscription only) — Set the day of the month when billing recurs

Click Next to continue.

Step 5 — "Set up your club tiers"

Note: This step only appears after the listing has been saved as a draft and has an ID. The wizard auto-saves before this step.

Set up the membership levels for your listing. Every listing needs at least one tier.

For each tier, configure:

Tier Name (required) — What members see when choosing a membership level (e.g., "Explorer", "Connoisseur", "Collector")
Price (required) — The total price per billing period in dollars. This is the full amount charged each cycle, not a per-bottle price.
Bottle Count (required) — How many bottles are included per shipment. For Membership-Only clubs, this may be zero.
Description — A short explanation of what this tier includes and why a member should choose it
Billing Frequency (Subscription and Membership-Only only) — How often members in this tier are billed. Options: Monthly, Every Other Month, Quarterly, Semi-Annually, Annually.
Rewards — Attach discount and text rewards to the tier. Click Add Reward to create a new reward.

Click Add Tier to create additional tiers. You can add as many as you need.

Click Next when your tiers are configured.

Step 6 — "Show off your club!"

Upload the images that represent your listing:

Hero Image — Upload a large banner image that appears at the top of your listing's public signup page. Use a high-quality photo that showcases your wines, vineyard, or tasting experience.
Thumbnail — Upload a smaller image used in listing cards and search results.

For each image, you can crop and resize after uploading to get the framing just right. A crop modal appears with a draggable frame.

Click Next to continue.

Step 7 — "Final Details"

Configure additional details:

Availability settings — Who can see and join this listing (public, unlisted, invite-only)
Cancellation policy — The policy text members agree to when joining
Tags and highlights — Add tags to help members discover your club in search and browsing

Click Next to continue.

Step 8 — "Review"

The final step shows a complete summary of everything you've configured across all previous steps. Scroll through to double-check every detail:

Basic info (name, type, description, tagline, category)
Delivery mode (pickup, shipping, or both)
Billing settings (frequency, fulfillment mode, anchor date)
Tiers (names, prices, bottle counts, billing frequencies)
Rewards (per-tier benefits — discount type, amount, scope)
Images (hero image and thumbnail previews)
Final details (availability, cancellation policy, tags)

When you're satisfied with everything, you have two options:

Save as Draft — Save your listing without making it visible to consumers. You can come back later to finish or publish.
Publish — Make the listing active and visible to consumers on its public listing page. Members can immediately see it and join.

Editing an Existing Listing

Editing an existing listing uses the same multi-step wizard as creating one — Basics, Tiers, Rewards, etc. — pre-filled with your current values. To open it:

Go to Dashboard → Clubs
Find the club in the table and click the Edit action (or click the row to open the detail page, then click Edit Listing)
The wizard opens at /dashboard/business/listings/edit/<listing-id> with all your existing data loaded
Step through the wizard, making changes where you want
Save at the end — your edits apply immediately

From the listing detail view, you can also:

View the current member count per tier
See and copy the public listing page URL
Review all tier configurations and rewards
Duplicate the listing to create a new one based on the same configuration (this stores the listing ID in session storage and redirects you into a fresh Create wizard pre-populated with the original's settings)
Reorder tiers by dragging — the public listing page respects this order

Editing a Draft Listing

If your listing is in Draft status, the editor's footer shows two actions:

Save Draft — stores your changes without publishing
Submit for Approval — sends the listing to the WineView team for review

Drafts are not visible to members. Once you submit, the status changes to Pending while we review (typically same-day). After approval, the listing becomes Active and shows up on your public storefront.

Listing Approvals

For new listings and significant edits, WineView reviews the listing before it goes live to make sure pricing, descriptions, and shipping rules are reasonable. The review process:

Pending — Submitted for review. You can still edit while pending, but changes during review may extend approval time.
Approved — Published to your public profile. Members can join.
Rejected — Returned with notes. Address the notes and resubmit.

If you've previously had a listing approved on the legacy approval system, you may see a Request Approval button on its edit page. Click it to migrate that listing to the current approval flow.

Stripe Charges Must Be Enabled

WineView requires that your Stripe account has charges enabled before any listing can be published or a draft submitted for approval. If charges are not enabled when you try to save:

You're redirected to Dashboard → Payments to complete Stripe setup
The listing edit URL is preserved in a firstTimePreview query param so you can resume editing once Stripe is ready
After enabling charges, return to the editor and your in-progress changes are still there

Delisting, Re-listing, and Visibility

There are two distinct controls for limiting who can find or join a club, and they do different things. See Listings Overview for the conceptual difference between delisting and archiving.

Delisting (Stop Accepting New Members)

To temporarily stop new signups while keeping the club live for existing members:

Go to Dashboard → Clubs
Open the club's actions menu (the ⋯ menu on its row)
Select Stop accepting new members and confirm

The club is closed to new signups, but existing members keep their memberships and ongoing fulfillment continues. Delisted clubs appear under the Delisted status filter.

Re-listing (Resume Accepting Members)

To reopen a delisted club:

Go to Dashboard → Clubs
Open the delisted club's actions menu
Select Resume accepting new members and confirm

The club starts accepting new signups again.

Hiding from the Public Page

The Visibility control hides or shows a club on your public profile without changing whether it accepts signups — handy when you want a club to stay joinable by direct link but not appear in public browsing.

Go to Dashboard → Clubs
Open the club's actions menu
Select Hide from public page (or Show on public page to reverse it) and confirm

This is separate from delisting and from archiving: a hidden club can still accept signups via its direct link.

Deferring New Members to the Next Cycle

When you need new signups to skip the current fulfillment cycle — for example, when inventory for the current cycle is already committed — you can defer them so their first shipment lands in the next cycle instead. New members are still charged at signup; only their first fulfillment moves.

Go to Dashboard → Clubs
Open the club's actions menu
Select Defer new members to be fulfilled in the next cycle (or reverse it with Continue allowing new members for the current cycle) and confirm

This option only appears for cycle-based subscription clubs (subscription and membership-only clubs that are approved and accepting members). It is not available for release-based clubs or clubs that fulfill each member individually. For membership-only clubs, the wording refers to deferring the first billing to the next cycle, since those clubs bill without shipping.

While a club is deferring, it shows a Deferring to next cycle badge on the Dashboard → Clubs list so the setting is easy to spot and doesn't get left on by accident.

Viewing the Public Listing Page

Every active listing has a public-facing signup page. To see what your members see:

Go to Dashboard → Clubs
Click on the club
Find the public listing page URL in the detail view
Click the URL to open the page in a new tab

This is the page you can share in marketing emails, social media posts, or embed on your website to drive signups. Draft listings do not have a publicly visible page.
